Underwriters Laboratories, Inc. http://www.ul.comChallenge: Underwriters Laboratories wanted to phase out their legacy IBM 370 OfficeVision system, replacing it with Microsoft Exchange and using several versions of Microsoft Word across the organization. It was decided that their document library of 3,000,000 be converted to MS-Rich Text Format, to make it available to all versions of MS-Word. The key requirements of the document migration was that the converted documents looked, and printed exactly like the original documents; that the application could run unattended for long periods; that output could be programmed into a pre-determined NT folder tree. Resolution: Pembroke developed the algorithms necessary to ensure that the original page-layout was maintained by allowing administrators to change the point size and line-spacing for converted documents, which was added to Document Conversion Manager (DCM), as a customized feature for Underwriters Laboratories. These adjustments were fractional sizes, but enough to over come the "natural" vertical metrics applied by Microsoft Word. DCM's robustness had been proven in pre-purchase trials, which meant that Underwriters Laboratories had full confidence in deploying the conversion solution. Description Document Conversion Manager (DCM) is a very high quality, wordprocessing document conversion and text manipulation product. Its function is to enable organizations to migrate legacy documents to Microsoft Word, HTML, AmiPro, OfficePower and ASCII, whilst fully maintaining the integrity of the original document. With full batch conversion facilities, and a comprehensive range of user defined formatting controls, DCM provides a cost-effective way to handle migration of legacy documents. |

Meta Group, Inc. http://www.metagroup.comChallenge: Meta Group, Inc. wanted to streamline their document creation, storage and publishing system. The authoring tool was Microsoft Word, the storage and management tool was Lotus Notes, and the final publishing medium was HTML. The requirement was to maintain Microsoft Word as the standard authoring tool, to automate the storage of Word documents into Lotus Notes as true Notes CD-RTF documents, so that all the information was searchable and available to the organization, and to automate the extraction and processing of Notes documents to HTML for publication. Resolution: Pembroke joined Meta Group as part of its Technical Team, and worked with Meta Group's developers to define the API set for Import/Export Document for Lotus Notes, that would be required to meet the organization's objectives. Pembroke re-worked its Notes Import/Export engine to meet all requirements whilst Meta Group developers wrote the automation process in Lotus script. Today, all Meta Group web publications are created using this implementation. Description Import/Export Document for Lotus Notes (IX) is a Notes Action menu Add-in product, enabling very high quality import of legacy and current wordprocessing document formats, and export of native Notes documents as MS-Rich Text Format and HTML documents. Its extensive API set allows developers to construct highly sophisticated, seamless bi-directional document storage and delivery systems, fully integrated with any Document Management and Workflow system. |

Lubrizol Corporation http://www.lubrizol.comChallenge: Lubrizol Corp, were moving their business IT infrastructure from Lotus Notes to Microsoft Exchange and needed to migrate a set of proprietary Notes Document Library databases to HTML. The important criteria for Lubrizol was that embedded objects be maintained as attachments to the resulting HTML output; that all document linkages be maintained, and that as each database was converted, the structure of the documents be maintained as a series of Windows NT file-system sub-folders. Resolution: Pembroke developed the algorithms necessary to ensure that the conversion criteria was correctly met, and designed a tailored User Interface to Import/export Document for Lotus Notes, to provide only the required conversion functionality. The result was an automated method of migrating the Lotus Notes databases to the web. The tailored User Interface approach provides Administrators with an extra level of security, knowing that databases can only be migrated as required regardless of where the migration process is installed or operated. |

Insituform Technologies, Inc. http://www.insituform.comChallenge: Insituform Technologies, Inc. were running an ISO9000 document creation and control system utilising Word as the authoring tool and Notes as the storage and management tool. Documents were created, and manually attached to Notes documents. The attachments could only be viewed in Notes by first loading the Word document into Word, selecting all the text and then pasting that text into a "preview" field. The requirement was to improve the efficiency of the system by automating the storage of the documents and providing an "on-demand" method of enabling Word document attachments to be previewed in Lotus Notes. As an ISO system pagination and page numbering were of paramount importance, and the conversion requirement was to maintain the Word document as print image, including all headers and footers and page numbering perfectly presented. Resolution: Pembroke joined Insituform Technologies Technical Team, and worked with their developers to add Import/Export Document for Lotus Notes, to their Application templates, so that deployment of the revised application could be done transparently through replication. Conversion services were called via Lotus Script attached to a button, enabling all Notes users to preview Word attachments as print image, conforming to ISO9000 requirements. |

Royal Air Force http://www.raf.mod.uk Back to topChallenge: RAF needed to update its e-mail system, document management systems, and phase out its legacy ICL OfficePower, AmiPro and WordPerfect based wordprocessing whilst changing to Lotus Notes and Microsoft Word. The new systems had to provide for data integration at the document level, with no effect on the 20,000 planned standard desktops. Resolution: Pembroke developed an implementation of its Document Conversion Engine for the X.400 e-mail system. This enabled the document conversion solution to be made available to the entire organization via three mail-servers, with no impact on the desktop, with a minimum administration requirement, and with deployment done within three hours. Description Document Conversion Services for X.400 (DCS), integrates with the Isocor X400 ASCII gateway to provide a simple method of providing document migration and co-existence facilities to the enterprise. The X400 MTA is configured as a single mailbox, and messages are addressed to the MTA as say lotusnotes@mta, where the addressee of the mail message defines the conversion requirement for any valid document attachments. DCS automatically processes all mail arriving at the In-box, converting all recognized document attachments to the required format, and returning the converted attachments to the sender. |

British Steel Plc http://www.corusgroup.comChallenge: British Steel Plc wanted to migrate 15000 users documents from IBM's 370 based OfficeVision to Lotus AmiPro and Notes. The decision on which documents would be migrated was to be left to the users, which meant that each user would need to have a desktop method of selectively migrating their documents. The majority of the documents would be Form based with graphic line draw. The conversion requirement was to interpret the graphic lines as table boundary markers and produce correctly formatted tables on conversion. Resolution: Pembroke developed the algorithms necessary to interpret the graphic line-draw data as table constructions, which was added to Document Conversion Manager, as a customized feature for British Steel Plc. The migration tool was made available to the organization as a download from an internal URL. With full batch conversion facilities, and a comprehensive range of user defined formatting controls, DCM is the ideal way to handle migration of legacy documents. |
